Greenwood Finance Pty Ltd (ABN 23 671 049 693, ACN 671 049 693) (“Greenwood Finance”, “we”, “us” or “our”) is an Australian mortgage broker based in Sydney. We operate as an Australian Credit Representative (Credit Representative Number 551942) authorised under Australian Credit Licence 384704 to provide credit assistance.
We understand how important it is to protect your personal information. This Privacy Policy explains how we collect, use, store, disclose and protect your personal and credit information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and Part IIIA of the Privacy Act (which governs credit reporting).
By providing personal information to us, you consent to its use in accordance with this Privacy Policy. We may update this policy from time to time and the current version will always be available on this page.

Personal and credit information we collect
“Personal information” is information or an opinion from which your identity is apparent or can reasonably be ascertained. Depending on the service we are providing, we may collect:
- Identity and contact details — name, date of birth, residential address, phone, email, driver's licence or passport details
- Employment and income details — employer, occupation, salary, payslips, tax returns
- Financial details — assets, liabilities, bank statements, living expenses, existing loans, deposit savings
- Credit information — outstanding loans, repayment history, defaults, court judgments, and other information exchanged between credit providers and Credit Reporting Bodies (CRBs)
- CRB Derived Information — information derived by a CRB from credit information that has any bearing on your credit worthiness
- Online identifiers — IP address, device/browser type, pages visited, and analytics generated through cookies and similar technologies
- Any other information you choose to provide through enquiry forms, phone calls, email or meetings
If you provide us with personal information about another person (for example a joint applicant, co-borrower, guarantor, accountant or solicitor), you confirm that you are authorised to do so and that you have informed them their information will be handled in accordance with this Privacy Policy.

How we collect your information
Wherever practical we collect personal information directly from you. We may collect information through:
- Phone calls, meetings and email correspondence
- Application forms, fact-finds and supporting documents you provide
- Submissions through our website (including the application form embedded on our Contact page)
- Joint applicants, co-borrowers or guarantors named on your application
- Your representatives — solicitors, conveyancers, accountants, real estate agents and buyer's agents
- Referral partners who introduce you to us
- Third parties involved in your application — lenders, mortgage insurers, valuers, CRBs and our aggregator
- Publicly available sources, where permitted by law

Information we collect automatically
When you visit our website we automatically collect certain technical data (“Automatic Data”), including your IP address, a unique identifier associated with your device or browser, the pages you view, the date and time of your visit and the referring site.
We collect Automatic Data based on the consent you provide by accepting this Privacy Policy and continuing to use our website.

How we use your information
We use your personal and credit information to:
- Assess your eligibility and suitability for finance
- Source, compare and arrange suitable loan products
- Submit and manage your loan application with lenders
- Provide ongoing servicing, including refinances and post-settlement reviews
- Communicate with you about your enquiry, application or existing loan
- Update referral partners on general application progress for commission purposes (excluding sensitive information)
- Conduct internal administration, training, planning, product development and research
- Send marketing and educational content where you have consented
- Improve our website and the services we offer
- Comply with our legal obligations under the National Consumer Credit Protection Act 2009 (Cth), Anti-Money Laundering and Counter-Terrorism Financing Act 2006 (Cth) and other applicable laws
You may opt out of receiving marketing communications from us at any time by clicking the unsubscribe link in any email, replying STOP to an SMS, or contacting us directly.

Who we disclose your information to
We may disclose your personal and credit information to:
- Our team members and authorised contractors
- The aggregator and Australian Credit Licence holder under which we are authorised
- Lenders on our approved panel and their mortgage insurers
- Credit Reporting Bodies, where permitted by Part IIIA of the Privacy Act
- Valuers, solicitors, conveyancers and other professionals involved in settling your loan
- Referral partners (general progress updates only, never sensitive financial information)
- Our IT, hosting, cloud storage, CRM and email service providers
- Professional advisers such as our accountants and lawyers
- Government agencies, regulators, courts and law-enforcement bodies where required or permitted by law
- Any third party you have specifically authorised to receive your information
We do not sell your personal information. Third parties to whom we disclose your information are only permitted to use it for the purpose for which it was provided, and (where relevant) are bound by confidentiality obligations.

Direct marketing
We may use your contact details to send you information about loan options, market updates, property news and our services, but only where you have consented. Every marketing email includes an unsubscribe link, and you can ask us to remove you from our marketing lists at any time by contacting us.

Your access and correction rights
You can request a copy of the personal and credit information we hold about you. We will endeavour to respond within 30 days of receiving your request. Before providing access, we will need to verify your identity. A reasonable administrative fee may apply if your request is complex or repeated, but we will not charge a fee for making the request itself.
If you believe any information we hold is inaccurate, out of date, incomplete, irrelevant or misleading, you may ask us to correct it. If we agree, we will correct the information at no charge. If we disagree, we will record a note alongside the information stating that you have requested its correction.
Financial information can change quickly. We will update the information we hold whenever required for our ongoing dealings with you.

Where your information is stored
Greenwood Finance is based in Sydney and your personal information is stored in Australia. We do not transfer or disclose your personal information to overseas recipients.
If this ever changes, we will update this Privacy Policy and only transfer your information where permitted under the Australian Privacy Principles.

How we store and protect your information
We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification or disclosure. These steps include:
- Confidentiality obligations on our team and contractors
- Password protection and two-step authentication for our systems
- Encryption in transit and at rest where supported by our providers
- Access controls so staff only see the information they need
- Secure document storage and clean-desk practices
- Regular review of our security and our suppliers' practices
We retain credit-related records for at least 7 years where required by the National Consumer Credit Protection Act and related legislation. When we no longer need your information and are legally permitted to do so, we take reasonable steps to destroy or de-identify it. In some cases full removal is impractical, in which case the information will continue to be protected in line with this policy.
Even with these safeguards, no system is completely secure. The use of email and the internet always carries some risk, and we cannot guarantee the security of information transmitted to or from us.
